Corporate gifting mistakes to avoid - Kaushikie Noida
A well-packaged corporate gift from Kaushikie - the difference between a gift that gets remembered and one that doesn't.

Most corporate gifting problems are not caused by bad vendors or bad products.

They're caused by decisions made before the order is even placed.

This post covers the five mistakes that come up again and again in bulk corporate gifting in India - and what you can do differently to avoid each one.

If you're still choosing a vendor, read this first: Blog 2 - How to Choose a Corporate Gifting Company in India - 7 Questions to Ask Before You Commit

Mistake 1 - Leaving it too late

This is the most common one. And it's the most expensive.

When a bulk order is placed three weeks before Diwali, the gifting company has limited options. Popular products are sold out. Customised packaging takes time that isn't there. The result is either a rushed order that looks rushed, or a last-minute switch to whatever is available.

A 350-person company placed their Diwali order ten days before the festival. With no time for proper sourcing, they ended up with generic items and no branded packaging. The gifts went out on time - but nobody remembered them.

The fix is simple. Plan eight to ten weeks before any major gifting occasion. This gives you time to approve samples, confirm branding, and build in a buffer for anything that goes wrong in transit.

Orders placed with enough lead time allow for proper branding, packaging and quality checks - none of which are possible in a three-week rush.

Mistake 2 - No per-person budget framework

Most companies either underspend on important relationships or overspend on people they don't need to impress. Both are problems.

The reason is usually the same: there's no budget structure in place before the order begins. Someone picks a number, the number gets approved, and the same product goes to everyone - regardless of whether they're a new client or a five-year relationship.

A simple tier system fixes this. Three levels based on relationship type:

New or event-level contact: ₹500-₹1,200 Regular employee or mid-tier client: ₹1,200-₹2,500 Key client or senior relationship: ₹2,500 and above

You don't need to be exact. You just need a starting point before the conversation with your vendor begins. Without it, the number gets decided by whoever speaks first.

Mistake 3 - Choosing a vendor based on price alone

The cheapest vendor is almost never the best value.

When price is the only deciding factor, you get vendors who cut corners on quality, outsource packaging to whoever's cheapest that week, and have no accountability when something goes wrong.

The cost of a bad order is not just the money. It's the follow-up calls, the replacement orders, the staff time spent managing the problem, and the clients who notice that the gifts looked cheap.

The right question to ask is not "how much?" It's "what happens when something goes wrong?" A vendor who can answer that with a named contact, a timeline, and a clear replacement process is worth more than one who comes in ten percent cheaper.

We covered the full list of questions to ask vendors in our previous post. Worth reading before you commit to anyone.

Mistake 4 - Ignoring the packaging

The packaging is part of the gift. Most companies treat it as an afterthought.

A ₹1,500 product in a plain corrugated box feels like a ₹600 gift. The same product in a well-designed box with tissue paper, a ribbon and a printed card feels like a ₹2,500 gift. The product didn't change. The experience did.

Recipients make a judgment about the gift the moment they see it. Before they open anything. Before they read the card.

Branded packaging does not need to be expensive. A custom sticker on the box, a personalised insert card, and tissue paper in your brand colours can transform how a gift is received. Ask your vendor what packaging options are included in the quote and what costs extra.

Mistake 5 - Not confirming GST compliance upfront

This one catches procurement teams off guard every year.

A purchase order goes out. The gifts arrive. Then the finance team raises a flag - the vendor isn't GST registered, or the invoice doesn't have the right details, or the GSTIN doesn't match the vendor's registered address.

The order can't be claimed as a business expense. The whole process has to be redone.

Before you confirm any bulk corporate gift order, ask for the vendor's GSTIN, check that their registered address matches the invoice, and confirm they can provide a proper GST invoice. A reputable gifting company will have this ready without being asked. If they can't produce it quickly, that tells you something.

One more thing

These five mistakes have one thing in common. They're all avoidable with a small amount of planning done early.

The companies that handle corporate gifting well don't have bigger budgets or more time. They just start the process earlier and ask better questions.
