Question 2 - Can I see samples before placing a full order?

Any serious corporate gifting vendor will send samples. If they won't, that's your answer.

Question 4 - What are your actual lead times for branded orders?

"Two weeks" is the answer every vendor gives on the phone. What happens in practice is different.

Ask for their lead time breakdown: how long for procurement, how long for branding, how long for packing and quality check, and how long for delivery to your city.

Also ask what happens if there's a defect found during quality check - does that reset the timeline? With good vendors, it doesn't, because they build buffer into the process.

A good answer: a specific timeline broken into stages, with a clear answer on what contingency exists if something goes wrong.

Question 5 - Have you delivered to multiple cities in a single order?

Pan-India delivery sounds simple. It is not.

If your recipients are spread across India, ask specifically: which cities have you delivered to in the past six months? How do you handle failed deliveries?

Question 6 - Can you show me past orders similar to mine?

Not portfolio photos. Actual examples.

Ask for the product type, quantity, and delivery context of two or three recent orders similar to yours. A good vendor will be able to give you specifics: "We delivered 150 onboarding kits for a fintech startup in Gurugram last quarter" or "We handled 300 Diwali hampers for a manufacturing company with delivery to four cities."

Vague answers ("we've worked with many large corporates") are a warning sign. Specific answers with context are what you want.

Question 7 - How do you handle quality issues after delivery?

Something always goes wrong in a large order. A broken item, a misprinted label, a delayed package. The question is not whether problems happen - it's how the vendor responds when they do.

Ask directly: what is your policy if we receive defective units? How quickly do you replace them? Who is our point of contact if there's an issue after delivery?

Talk to two or three vendors. Ask the same seven questions each time. Compare their answers side by side.
